Training - Add an Event

To add an event, just click on the blue + New Event button in the top right corner.

This opens a New Event page.

Click the arrow to display the drop down of Calendar.

Select your Calendar from this drop down.

Next add the basic details for the event:

  • Event Name, the name of the event.
  • From and To, the start and end dates and times for the event.
  • If you check the All Day box, it will remove the time options and the event as an all-day event.

If your event is reoccurring on a set schedule, you can set that by changing the Event Repeats dropdown from Never to Daily, Weekly, Monthly or Yearly.

From there you can set the repetition of the event and the end date of the reoccurrences. 

Next, complete the About The Event field, here you will add the description and details of the event. This is a rich text editor and you can add lists, bolded text, hyperlinks, images, and more.

Underneath this the Event Image field. This is where you add the image that will appear with your event.

If you do not add an image a default calendar icon will appear with your event.

Event images must be an image file, acceptable image files are: .png. .jpg, .jpeg, .gif

All uploaded image files will be cropped to a square for display.

To add an image click in the image icon in the Event Image field.

This brings up a dialogue box to choose an already existing website image or upload a new image.

The File Tree, will open in the ‘calendar’ folder and from there you will need to click on your campus folder.

If your image already has been uploaded you may select it here, or you can click the blue UPLOAD button in the top center of the box to add a new image.

This will pop up another dialogue box, click the blue + ADD button to select an image from your computer to upload. Once that is selected, click the START UPLOAD button in the bottom right corner.

Once your image is uploaded it will appear in your image list and you can select it and click the blue INSERT button in the bottom right corner.

If you have an image for your event you are required to add an Image Alt Text to meet digital accessibility standards. Alt Text is just a description of what the image is showing.

If there is a specific organizer for the event that needs to be identified, you can and select that person from the Organizer drop down. This is an optional field and can be left blank.

If the organizer isn’t already set up you can click on the + Add New link next to the drop down arrow to add a new organizer.

This will open a new dialogue box where you can enter the Organizer's information and click the blue ADD button to create.

Next is the Categories field.

This is an important field to complete because these are the filters the calendar can sorted by. If no categories are set, the event will not appear when someone filters the calendar view.

MANDATORY CATEGORIES

  • Add your calendar name
  • Add your campus name and abbreviation. For example, Muscatine Community College would add MCC and Muscatine.
  • Add your audience. Add tags for who the event is for, for example: Current Students, Faculty, Staff, Public.

Next you can select the location of your event. If your event is online you can skip this step.

Select your campus, or the location of the event from the dropdown.

If your location isn’t already in the drop down you can click on the + Add New link by the drop down arrow to add a new location.

DO NOT ADD SPECIFIC CAMPUS ROOMS/LOCATION NAMES TO THIS LIST.

You can specify the specific on campus location name or room number in the Location Room text field. For example, Student Center, Room 2023, or Auditorium.

If you event is online, or there is a registration link you can add the link or URL to the Web Conference Link field and what you would like the Button to say in the next field.

Once you have filled in all the necessary fields, you can click the blue CREATE button in the bottom right corner to create the event.

This will save your progress and create your event. The page will take you back to the All Events list. 

Find your newly created event name and click on it.

Scroll to the bottom of your event information and click the blue SEND APPROVAL REQUEST button to trigger a notification to an approver that your event is ready for approval.

If you do not complete this last step, no notification will be sent to an approver that your event is ready for review. Marketing checks the calendar module for events needing approval and publishing on a daily basis during the work week when possible.
